Space Use @ CWC

 
 
The following represents the church's policy and current rate structure for typical non-repetitive use of portions of the church facility.  Copies of this document and the appropriate forms are available from the Office administrator in the church office.

General Information

Charles Wesley United Methodist Church (CWUMC) has a variety of spaces, available publicly on a one-time or recurring basis. The use of these spaces is subject to the policies of CWUMC. Those policies are provided below.

Categories of Space Users                     

Members & Ministries –

Members or active participants at CWUMC are not charged fees for space use.

Affiliated -

Affiliated space users are organizations that are aligned with, or supported by CWUMC (e.g., NVCCC, Alcoholics Anonymous). They pay reduced fees for space use.

Non-Affiliated -

Non-affiliated space users are members of the general public, or organizations who do not receive financial support from CWUMC.
 
Space Use Limitations
CWUMC seeks to provide a variety of affordable spaces to the public.  In order to maximize the availability of its spaces, CWUMC limits the use thereof as described below:
 
·         CWUMC reserves the right to offer its spaces to groups and organizations whose values & purposes reflect the values & purposes of the church.  CWUMC will prioritize requests for space on this basis.
·         CWUMC reserves the right to pre-empt or reschedule a use request, if space is needed for an unanticipated church activity, such as a funeral.  CWUMC will make every effort to work with space users, to reschedule their event or to refund their fees if an event must be canceled.


·         CWUMC limits the use of its spaces by fund-raisers to recognized 501(c) (3) not-for-profit organizations, churches, and educational institutions.  Proof on an organization’s tax status may be requested.


Storage Space

No storage will be provided as part of any standard Space Use Agreement.  If storage is requested, a separate fee must be negotiated.  Storage is extremely limited, so very few requests can be accommodated.  Space users are expected to remove all materials between events.

 

How to Request Space

 1.        Pick up a Space Use Request Form from the CWUMC office.  Complete the Form and return it to the attention of the church administrator.

2.        CWUMC will process the request and will notify you by postal mail, or by E-mail if preferable, within a week regarding the availability of space.  If the requested space is available, the user will receive a Space Use Agreement, Proof of Insurance Form, and Liability Waiver.


3.        Return the signed Space Use Agreement, along with payment and proof of insurance, within 21 days of receipt.  At this point you may be provided with a key to the facility.  For recurring space users, the agreement will cover one year, and the first and last month’s rent will be due with the Space Use Agreement.

n.b.  Neither tobacco nor alcohol is permitted inside the building.
 
Security Deposit
A security deposit of $60 will be charged for each one-time space use. This deposit will be refunded provided the user has left the space in good condition and the church key is returned.  Leaving the church in good condition includes removing all event materials and trash, turning off lights, and locking the facility when your event is over.  Please mail or hand-deliver the key in the CWUMC office to initiate refund of your deposit.  Deposits will be refunded within 30 days of receipt of the key.

From recurring Space Users, additional security deposits will be requested each time the space is not left in good condition.  CWUMC reserves the right to end its Space Use Agreement with any organization that fails to leave the space in good condition.
 
Room Setup/Cleanup Times
Standard setup/cleanup times for small meeting rooms and the Fellowship Hall are 15 minutes before and 15 minutes after Space Use. For the Sanctuary, standard setup/cleanup times are 30 minutes before and after Space Use. Please factor setup/cleanup times into your Space Use Request.

Space Use Agreements

Space Use Agreements must be signed and returned with payment to CWUMC within 21 days of receipt.  Reservations without a signed Agreement and payment are subject to cancellation at the discretion of CWUMC.

Noise

CWUMC reminds Space Users that the church is a multi-use facility.  The volume of music or other noise must permit other activities to occur simultaneously, and to allow the church office to function without disruption.

Payment Terms –

Payment is due in full at the time the Space Use Agreement is signed, no later than 21 days after the reservation has been confirmed.  Bookings made less than three weeks prior to an event must be paid in full within 48 hours of receiving confirmation.  At the discretion of the church administrator, organizations that utilize space throughout the year may pay in advance.  Year-long Space Users will receive a 10% discount on Space Use fees.

Fee Waiver

Waiver may be granted where the Space Use fee would prohibit offering a unique and beneficial service that furthers the mission of CWUMC and its ministries and is unavailable elsewhere in the community.  Fee waivers are granted at the discretion of the CWUMC Building and Grounds Committee on a case-by-case basis.


Refund Schedule
 
CWUMC will issue refunds for canceled events according to the following schedule:

·         More than 21 days before the event – or due to an act of God! - 100%

·         14 to 21 days before the event - 50%

·         Less than 14 days before the event - 0%
